Charlton Heights Elementary School PTA

Charlton Heights Student Scholarship
___________________________________________

Program Description:  Charlton Heights Elementary School PTA scholarship was established in 1981 to support a senior who is graduating from the Burnt Hills-Ballston Lake School District and who has also attended the Charlton Heights Elementary School.  Applicants must have attended Charlton Heights Elementary School for a minimum of two years.  Additionally, the applicant must have college or vocational plans.  The committee members objectively rate each applicant (names and addresses will be omitted to shield their identity).  A rating tool is utilized to assist with fair, consistent and objective judging.  Each applicant receives a score based on the following:  community and/or volunteer activity; school activity; and academic achievement.  Both quality and quantity of involvement will be considered.

Funding:  The executive committee will designate an amount of money to be divided between 3 scholarship winners.  In years past, the total amount was $600.00.

Program Dates:  Work needs to be preformed March - May of each year.

Volunteers Needed:

  • 1 Chairperson – the chair takes care of the correspondence and coordinating of the program.  A co-chair isn't needed.
  • 1 or 2 Co-Chairpersons –  not needed
  • Worker Bees - 2-4 judges will be needed to help rate the applicants and choose 3 scholarship winners

Expected Time Commitment:

  • Chairperson –  Approximately 5-7 hour total.
  • Co-Chairperson – n/a
  • Worker Bees –  Approximately 2-3 hour total.

Skills Needed:  minimal computer skills and organizational skills needed.

Chairperson Responsibilities:

  • Mid-March – let H.S. Guidance office know you are the contact and distribute the Scholarship Flyer and Applications
  • April 5th or so – pick up scholarship applicants from HS Guidance office
  • Mid-April – distribute applications to judges that volunteer to help rate the applicants, make sure the student's names are not visible to ensure fairness, and use the rating tool to make sure all judges are rating appropriately. You will find that the judges will all vote for the same tope 2 or 3 students, the tool works wonderfully!
  • End of April – contact HS Main office with the three winner’s names, make certificates and get checks cut, deliver all to the HS in time for High School Honors Night.
  • May – send congratulatory letters to winners and rejection letters to non-winner right after Honors Night.

Meeting and Planning Schedule:  The judges and chair could review and rate scholarships separately, but the copying expenses become very significant and it is highly recommended that the crew just meet for 2-3 hours to select winners in a group setting.
